Hevi September 2025 Product Update: Set Up Your Contract Portal in Minutes

Busy teams do not have time to hand build workflows or chase dates. This month we shipped a faster way to stand up a working contract portal. Click “Extract details with AI” and Hevi pulls key dates, fills contract metadata, builds workflows as real flowcharts with deadlines, and links every item back to the source clause. We also upgraded Contract Reviews to answer your own prescriptive PDF question sets, and we added native Excel support in Chat and the Invoice Checker.

If you manage contracts in mining or construction, this update removes manual administration and helps you hit time bars with confidence.

What is new

1) One click “Extract details with AI” in the Contract Portal

From a single button, Hevi now extracts:

• Contract details: client and contractor names, start and end dates, scope summary, location map, and key contacts.
• Key dates: completion, milestones, separable portions, and any stated deadlines, plus a short explanation for each date.
• Workflows as flowcharts: step by step processes for common obligations. Each node shows actions and deadlines and includes a hyperlink back to the clause it came from.

You can run extractions in parallel. Start workflows and key dates at the same time. Results usually appear in a minute or two depending on document size.

Why it matters: You get a working portal without retyping. You also get traceability. Every extracted item has a source link so your team can verify the clause in one click.

2) Workflows flow straight into Case Management

Once workflows are extracted, they are ready to use inside Cases. Create a case, pick a workflow such as “Variation” or “Extensions of Time,” and Hevi loads a live copy into the case. All steps and deadlines carry across.

Why it matters: You go from clause to action fast. The same logic that built the flowchart drives the work in your case.

3) Contract Reviews that answer your prescriptive PDFs

Many users run reviews from a PDF that already contains a fixed list of questions. You asked for answers that match those questions word for word. Done.

• Upload a PDF that lists your questions.
• Start the review.
• Hevi returns direct answers to each question and reduces the chance of vague or generic responses.

You can still run reviews from templates or CSV lists. This change adds a clean path for prescriptive checks in procurement and contract start up.

Why it matters: Faster, clearer reviews. Less rewriting. More confidence when you present findings.

4) Native Excel support in Chat and the Invoice Checker

You can now upload .xlsx files in Chat and use them in modules like the Invoice Checker. This is ideal for schedule of rates claims and services invoices with hundreds of lines.

• Ask questions of Excel in Chat.
• Feed the same file into the Invoice Checker to cross check quantities, rates, and totals.
• If a file is very large, the upload may error. Trim the file or split it and try again.

Why it matters: Many suppliers still send Excel. You should not have to convert to PDF to analyse and verify claims.

Build a live portal in minutes: step by step

1. Create a new project in Admin.
2. Upload the head contract in Chat and place it in a “Head Contract” folder.
3. Open the Contract Portal and set that folder as the main source document.
4. Click Extract details with AI for:
   • Workflows
   • Key dates
   • Contract details
5. Review the results:
   • Open key dates and read the short explanations.
   • Open workflows and scan the flowchart. Edit nodes, add tasks, or adjust wording if needed.
   • Follow the clause hyperlinks to verify the source.
6. Create a case like “Variation 1” and attach the workflow.
7. Run a Contract Review by uploading your prescriptive question PDF if you need a structured check.
8. Upload Excel in Chat or the Invoice Checker for quantity and rate verification.

This flow gives your team a single source of contractual truth with actions, deadlines, and references in one place.

• Always verify important items by opening the clause link.
• Large Excel files: if upload fails, reduce sheet size or split the file.
